URLTO GUIDE
Operate an event link from registration to closing notice
Old registration pages can remain in circulation after an event closes. Plan the destination and visitor's next action for each stage before distributing the link.

1. Prepare a destination for each stage
This is an illustrative plan, not customer data. A short URL does not create registration, payment or event-management systems. Prepare the screens in your destination service and check that visitors can access them.
| Stage | Visitor need | Operating choice |
|---|---|---|
| Registration | Dates, eligibility and signup | Verify that registration works |
| Event day | Location, times and instructions | Decide whether to change the destination |
| After closing | Closure and next dates | Closing notice or stopped redirect |
2. Separate distribution URLs from private controls
For a social post and store poster, tag the same registration page separately and shorten each tagged URL. Encode each placement's public short URL in its QR. One shared address is simpler to manage but makes placement comparisons difficult. Split only the placements you actually need to compare.
Compare it yourself · Illustrative example
Illustrative distribution record Social: instagram / social / autumn_event_2026 Poster: store_poster / offline / autumn_event_2026 Record: placement · public URL · destination · responsible owner Private controls: stored separately
3. Plan expiry and destination changes together
A link must remain available if you want it to redirect to a closing notice. Do not assume changing a destination overrides expiry. Close registration in the destination system as needed: expiring a URLTO link does not close the original form itself.
4. Test the full visitor journey before publishing
Review redirect requests and destination registration completions separately over a consistent period. Note test times because your own requests can be counted. More link requests alone do not establish more signups.
- Test the public URL, form and completion screen
- Test a final-size print of the poster
- Record the deadline and post-closing destination
- Retest distributed links and QR codes after changes
Frequently asked questions
Does expiry close the registration form?
Expiry applies to the URLTO redirect. Close the original registration form separately in its own service.
Do I need to reprint for event-day instructions?
If the QR contains a manageable public short URL and the link remains available, you can change the destination. Verify the result using the original printed code.
